How to Plan Your Production Day

Every production day starts with a single anchor point: your show time. From there, you work backwards to schedule every milestone — from load-in to sound check to doors open. This "reverse planning" approach ensures nothing gets squeezed or forgotten.

The key is giving each phase enough buffer time. Equipment setup always takes longer than expected. Rehearsals reveal last-minute changes. Doors open and you discover a seating issue. Build in margins, and your day runs smoothly instead of becoming a race against the clock.

Call Time Best Practices by Event Type

Conferences & Corporate

Allow 3-4 hours before show time for load-in and setup. AV checks should happen at least 2 hours prior. Build in 30 minutes for a walk-through with presenters.

Concerts & Theater

Concert load-ins can start 6-8 hours before doors. Sound check is critical and needs dedicated time. Always have a line check after sound check for last-minute fixes.

Broadcast & Live Streaming

Technical checks need more time than you think. Build in camera blocking, audio checks for each mic, and a full run-through. Stand by should be called at least 15 minutes before air.

Worship Services

Worship teams often have tighter turnarounds. Aim for a 2-3 hour setup window. Rehearsal with the worship band should happen at least 1 hour before doors open.
