What is a run of show? +
A run of show is a time-based document that maps every moment of your event from start to finish. It includes segment names, start times, durations, who is responsible, and technical notes for lighting, audio, video, and graphics. It is the document everyone on the production team works from — the show caller, stage manager, AV team, client, and talent.
What is the difference between a run of show and a production schedule? +
A production schedule covers the days and weeks of preparation leading up to an event — load-in, rehearsals, soundcheck, crew calls. A run of show covers the event itself, usually minute by minute. Most productions use both: the production schedule gets you to show day, the run of show gets you through it.

Yes. Every template on this page is completely free. No signup, no email required — just click the download link. Each template downloads as a CSV file that opens directly in Microsoft Excel, Google Sheets, Apple Numbers, or any spreadsheet application.
Can I use these run of show templates in Excel or Google Sheets? +
Yes. The templates download as CSV files, which open natively in Excel, Google Sheets, and Numbers. To use in Google Sheets: open Google Sheets, go to File → Import → Upload, and select the CSV. To use in Excel: just double-click the downloaded file.
How do I create a run of show from one of these templates? +
Start with the big blocks — the major sections of your event (e.g. Registration → Opening → Keynote → Break → Lunch → Closing). Add timing for each block, working backwards from your end time. Then fill in the production details: presenters, AV needs, video cues, and stage notes. Share the document early and update it as plans change. What should a run of show include? +
At minimum: segment name, start time, duration, and responsible person. For more complex productions, add columns for audio cues, lighting cues, video and graphics cues, stage notes, and presenter notes. Keep it readable — too much detail and nobody will use it.
How is a run of show different from a cue sheet? +
A run of show is a high-level schedule of every segment in your event. A cue sheet is a detailed list of technical cues (lighting, audio, video, pyro) that happen within those segments. A complex production usually has both: one run of show, and separate cue sheets for each technical department.
